The Word in Motion Class Policies and Procedures

In-Person and Live Online Classes via Zoom

The Word in Motion is committed to providing a safe, respectful, and spiritually enriching learning environment. These policies apply to all students participating in in-person classes and live online classes through Zoom.

Attendance and Punctuality

Attendance is expected in order to gain the full benefit of the instruction provided. Please arrive or log in on time. Students who arrive or join more than 30 minutes late will not be allowed to participate in that class.

There will be no refunds for classes missed by students. Your monthly tuition reserves a place for you in a specific class, whether you attend in person or online. Please notify your instructor if you will be absent.

Commitment and dedication are vital to finishing the course and receiving all that God has for you. Someone is depending on you to walk in your purpose and destiny and be a blessing in their life.

In-person students: Please arrive at least ten minutes early if you need to change into your uniform.

Online students: Please join Zoom at least ten minutes early to check your connection, camera, microphone, and dance space. Use the student’s registered name so the instructor can identify you and record attendance. Joining the meeting without being present and participating does not constitute full attendance.

Tuition, Registration, and Payments

Tuition varies by class, program, and instructional format. Current tuition and annual registration fees will be provided during registration.

For monthly classes, tuition is due by the first class of each month. For courses with a different payment schedule, students must follow the terms provided at registration.

The Word in Motion accepts only cash and approved digital forms of payment. Checks and money orders are not accepted. Cash payments must be made in person. Available digital payment options will be provided during registration.

A late fee will apply to monthly tuition payments received five days after the due date. The applicable fee will be communicated during registration.

Referral discounts may be available toward the following month’s tuition. Please notify The Word in Motion when making a referral so any applicable discount can be recorded.

Your tuition reserves your place in the selected class or program. There will be no refunds for classes missed by students.

Registration and New Students

New students may register at any time and will be placed in classes according to age and available space. If a class is full, the student will be placed on a waiting list until space becomes available.

All required registration documents must be completed before the student’s first class. A parent or guardian must complete the required documentation for a minor.

Students must register for their intended class format. Requests to switch between in-person and online attendance must be approved in advance and are subject to availability.

Uniforms and Personal Preparation

All students, including those attending through Zoom, are expected to wear their designated class dance uniform. Please order the proper uniform as soon as it becomes available at www.thewordinmotion.com.

Long hair should be secured in a ponytail or bun and kept away from the face. Hanging earrings and other jewelry that may catch on clothing or cause injury should not be worn. Please do not chew gum during class.

Students who do not wear the required uniform may be permitted to observe only. Proper clothing supports safe stretching and movement and allows the instructor to assess technique.

In-person students may bring a towel, bottled water, and a change of clothes in a separate, labeled duffel bag or backpack. Online students should have water and a towel nearby before class begins.

Allow time to digest food before participating, and avoid eating during class. Notify the instructor if you feel unwell or need to stop.

In-Person Class Procedures

Students are expected to:

    • Follow the instructor’s directions and treat others with respect.

    • Keep bags and personal belongings outside the dance area.

    • Silence phones and avoid unnecessary interruptions.

    • Remain in the designated instructional space unless excused.

    • Notify the instructor promptly of an injury, discomfort, or safety concern.

Parents and guardians should ensure children arrive on time and are picked up promptly. Please communicate any changes to pickup arrangements in advance.

Online Class Procedures—Zoom

Students are responsible for having access to a suitable device, a working camera and microphone, and a reliable internet connection.

For each class:

    • Use the Zoom link provided by The Word in Motion. Do not share meeting links, IDs, or passwords with others.

    • Join using the student’s registered name and wait to be admitted.

    • Keep the camera on during dance instruction so the instructor can observe movement and offer feedback. Discuss any concerns with the instructor before class.

    • Position the camera so the instructor can see as much of your full body and movement area as possible.

    • Mute the microphone when instructed and use the raise-hand feature or chat appropriately.

    • Avoid distracting backgrounds, unrelated conversations, and other activities during instruction.

    • Participate from a stationary device in a safe location. Do not participate while driving or riding in a moving vehicle.

If you lose your connection, attempt to rejoin promptly and notify the instructor if the problem continues. Student-related technical difficulties do not automatically qualify for a refund or makeup class.

Safe Dance Space and Supervision

Online students must prepare a clear space with enough room to stretch and move safely. Remove furniture, cords, loose rugs, and other obstacles. Keep pets and other distractions away from the dance area, and use an appropriate, stable surface for movement.

Follow the instructor’s directions and participate within your abilities. Stop immediately if you experience pain, dizziness, or unusual discomfort, and notify the instructor.

For children attending online, a parent or responsible adult must be available nearby to assist with technology and safety. The instructor cannot provide physical supervision through Zoom.

Respect, Privacy, and Recordings

All students are expected to maintain a respectful atmosphere that supports learning and ministry. Disruptive behavior, inappropriate language, or misuse of Zoom features may result in removal from the class.

Students and families may not photograph, record, screenshot, or distribute class sessions or images of other participants without prior permission from The Word in Motion and the individuals involved.

If The Word in Motion plans to record a session, participants will be notified beforehand, and any required permissions will be obtained. Class materials and authorized recordings are for enrolled students and may not be shared without permission.

Class Changes and Cancellations

The Word in Motion will communicate schedule changes or cancellations as promptly as possible. If The Word in Motion cancels a class or an instructor-related technical issue prevents instruction, students will be informed of the rescheduled class or other arrangement.

Makeup classes and recordings are not automatically available for student absences. Please contact the instructor regarding any available options.

Participation in Ministry Events

The Word in Motion is a dance school with several different classes. Each class represents a group within The Word in Motion.

If you would like to schedule one of The Word in Motion’s dance groups to minister at a function, please contact TWIM ADMINISTRATION for details and approval. Invitations involving a class or ministry group must be coordinated through ministry leadership before commitments are made.

There will be ministry events in which we are invited to participate as a group or individually. We encourage students to approach every opportunity with prayer and careful consideration.

If you are a beginner and have not ministered through dance before, we recommend completing the course before accepting individual engagements so that you can be fully prepared.

These procedures apply to both in-person and virtual ministry events.
